Add Files from OneDrive
You can easily add your files stored in Microsoft OneDrive directly to your course
from within Cougar Courses. You can either do so as a link in a Module or embedded
on a Page. Embedding on a Page is useful when you want to provide other content (text,
images, videos) alongside the file for context.

Important Note: When you add a file via the OneDrive integration in Cougar Courses, it creates a
copy of your file. So if you want to update your file, you need to access the file
via the link in your course, not by going directly to OneDrive.
Link to a File in Modules
- From Modules, go to the module where you would like to add the link and click the
plus icon to the right of the module name.
- Choose External Tool from the dropdown menu at the top of the pop-up window.
- Choose Microsoft OneDrive. Allow the pop-up window to load with the contents of your OneDrive (this may take
a minute and you may need to login/authorize).
- Click on the item you want to link to, and then click the Select button in the lower right of the pop-up window.
- Scroll down in the pop-up window and edit the Page name (by default it will be the file name including the extension).
- Make sure "Load in a new tab" is unchecked so that students view the item right in CC.
- Click the "Add Item" button in the lower right of the pop-up window.
- The unpublished link to the item will be added at the bottom of the module. Click
the Publish icon to publish to students.
Link to or Embed a File on a Page
- While editing your Page, click the OneDrive icon in the rich content editor toolbar. If you do not see the OneDrive icon, select the
Apps icon. If you do not see OneDrive in the dropdown, click on View All. Select Microsoft OneDrive.
- Allow the pop-up window to load with the contents of your OneDrive (this may take
a second).
- Click on the item you want to link to, and then choose either the Embed or Link button in the lower right of the pop-up window.
- The file will then be embedded or linked on the Page.
- When finished, don't forget to Save the Page. And don't forget to publish!
Prevent Downloads
Students can download shared files by default. They cannot do so directly in Cougar
Courses, they would need to open the file in OneDrive, and then click on the menu
to download. If you do not want students to be able to download, you must manually
change the setting. You only have to do this once per course (not per file), but it
does need to be done for every individual course container, every term. This is because once you import your course content into another course container,
the default settings return. Also be aware that this setting applies to all files
shared through the OneDrive integration. If there is a file you do want them to be
able to download, you could upload the document directly to Canvas.
How to prevent downloads
- Once you have added at least one file to your course via OneDrive (either through
Modules or on a Page), go to the file in Cougar Courses.
- Click the "Edit Document" button in the upper right of the file.
- This will open the file in a new tab. In that tab, click Share in the upper right. Then click Manage Access from the dropdown.
- In the upper right of the pop-up window, click the three horizontal dots, then click Advanced Settings in the dropdown.
- This will open up a new tab. In that tab, click on Site Contents on the lefthand side menu.
- Click the folder OneDriveLTIFiles.
- For the folder called Shared Items, click the horizontal three dots, then choose Manage Access from the menu.
- In the pop-up window, click the Groups tab.
- The bottom two groups should be "[course name] Visitors" and "[course name] Members."
- Click on "[course name] Visitors", click on "Direct Access: Can view," click on the "Can view" dropdown and change the setting from "Can view" to "Can't Download." Click Apply. Click on the back arrow next to Manage Access in the top left of the pop-up window.
- Click on "[course name] Members", click on "Direct Access: Can view" , click on "Can view" dropdown and change the setting from "Can view" to "Can't Download." Then click Apply. Click on the back arrow next to Manage Access in the top left of the pop-up window.
- Click the close icon in the upper right of the pop-up window.
- You can then close these two tabs and return to the Cougar Courses tab. Now any OneDrive
file you add as a link in Modules or embed on a Page in this course cannot be downloaded
by students.
- Set a reminder to repeat these steps the next time you use this content. If you want
the reminder to be in Cougar Courses, you could create an unpublished Page or Text
Header in your first module right by the your syllabus would be best. That way you
will see it when you replace your syllabus the next term.
