Daily Outgoing Mail Preparation 

  1. Indicate how your outgoing mail is to be sent: Express Mail, Priority Mail, etc鈥 All mail will be processed as First-Class Mail unless otherwise noted on the mail piece.

  2. All mail must include a barcoded Mail Code Card or attached Chargeback account number for chargeback purposes.

  3. All outgoing mail should be bundled into groups by chargeback numbers and held together with rubber bands or, if a larger mailing, placed in trays.
  4. Mail pieces should be grouped to face in the same direction. Flaps must be down/closed on envelopes that need to be sealed. (NOTE: larger envelopes, such as 9x12, must be sealed as well as all side closure envelopes and self-seal envelopes.)

  6. The mail should be bundled and/or separated according to the following groups:
      1. First-Class Mail
      2. Internation Mail (including Canada & Mexico)
      3. Intercampus Mail
      4. Business Reply and pre-stamped mail
  7. Only mail with a California State University San Marcos return address will be metered with University postage.
  8. Intercampus mail should be clearly marked as 鈥淐ampus Mail鈥 if using a standard #10 envelope.  Please use full name and department when addressing to ensure proper distribution.
  9. Mail that has been improperly or poorly prepared may be returned to the department of origin to be re-packaged per U.S. Postal Standards. 

Addressing for Success

U.S. Postal Addressing Guidelines:

    • Capitalize everything, using plain block letters such as Helvetica.
    • Omit all punctuation, use abbreviations whenever possible.
    • Type or print in dark ink on a light background with a uniform left margin. 
    • Left-justify every line in the address block.
    • Use two-letter state abbreviations.
    • Use one space between city and state, two spaces between state and ZIP+4 code. 
    • Use appropriate ZIP+4 code (if unknown, use 5-digit ZIP Code).

Proper Address Format: 

The bottom line of the recipient's address must contain the zip code. The address should be parallel with the length of the mail piece, not slanted.  See sample of proper address format below.

Intra-Campus Mail: 

Please use full names and departments when addressing intra-campus mail to ensure proper distribution.  If you use a standard #10 envelope for your inter-campus mail, please remember to band them separately from your USPS mail and make sure they are easily and clearly identifiable as inter-campus mail.
